1. Introduction & Overview

MGate ("we", "us", or "our") provides smart community security, gate management, and resident communication software. We respect your privacy and are committed to protecting the personal data of our users, including society residents, household members, security guards, delivery personnel, and society administrators.

By downloading, installing, or accessing any MGate application from Google Play Store or using our services, you acknowledge and agree to the practices described in this Privacy Policy.

2. Information We Collect

We only collect information strictly required to facilitate society gate security, authentications, visitor management, and operational communications.

A. Account & Registration Information

• Phone Number: Your 10-digit mobile number is used as your primary user identifier for One-Time Password (OTP) login and critical security alerts.
• Name & Role: Your full name and designated role (Resident, Guard, Society Admin, or Daily Staff).
• Society & Residence Details: Society name, tower/block, and flat/unit number where you reside or operate.
• Email Address (Optional): For administrative receipts, reports, or billing notifications.

B. Gate Operations & Visitor Records

• Visitor Details: Name, phone number, vehicle registration number, visiting purpose, and destination flat.
• Visitor Photographs: Security guards using the MGate Guard app may capture a digital photograph of visitors and delivery personnel at the gate to assist residents in verifying entry requests.
• Timestamps & Entry Logs: Time of arrival, gate number, resident approval/denial status, and exit timestamps.

C. Device & Technical Information

• Push Notification Tokens: Firebase Cloud Messaging (FCM) device registration tokens to send you instant visitor arrival alerts, gate pass status, and society notices.
• Device Characteristics: Device model, operating system version, and app version for crash reporting and security diagnostics.

3. Device Permissions & Why We Need Them

Google Play Store policies require full transparency regarding Android device permissions requested by our apps. Here is why each permission is requested:

INTERNET & NETWORK_STATE	All Apps	Required to communicate with our secure cloud servers and verify real-time gate entry status.
READ_MEDIA_IMAGES / STORAGE	Resident & Admin	Allows users to download maintenance payment receipts, notices, and view society circulars.
CALL_PHONE (Optional)	Resident & Guard	Enables 1-tap phone dialing from the guard desk to resident intercom or security desk in case of offline communication.

4. How We Use Your Information

We process your data exclusively for the following lawful operational purposes:

• To verify identity and grant access via secure SMS One-Time Passwords (OTP).
• To deliver real-time gate visitor notifications and allow residents to approve or deny entry.
• To maintain accurate visitor, delivery, and cab entry logs for community safety.
• To facilitate maintenance dues calculation, billing records, and amenity reservations.
• To send urgent society notices and emergency SOS broadcasts.
• To detect and prevent fraudulent entries, unauthorized access, and security breaches.

5. Information Sharing & Third Parties

We only share data with trusted service providers strictly necessary to deliver the app's functionality:

• Google Play Services & Firebase: We utilize Google Firebase Cloud Messaging (FCM) for reliable, low-latency push notifications and Google Play licensing.
• SMS Gateway Providers: To deliver One-Time Passwords (OTP) and critical SMS alerts.
• Authorized Society Administrators: Management committees and security staff of your specific housing society have access to operational logs pertinent to their gated community.
• Legal & Law Enforcement: We may disclose records if required by applicable Indian or international law or valid court order in response to an official security investigation.

6. Data Security & Storage

We employ industry-standard technical and organizational security measures to protect your information:

• Encryption in Transit: All data transmitted between the mobile apps and our cloud servers is protected using Transport Layer Security (TLS 1.2 / 1.3 / HTTPS).
• Encrypted Database: Sensitive user credentials, tokens, and records are stored behind enterprise-grade firewalls and access controls.
• Role-Based Access Control: Strict permission barriers ensure that residents only see records for their own flat, guards only access gate logs, and administrators only access their assigned society.

7. Data Retention Policy

• Account Data: Retained for the duration of your residency or employment in the registered society.
• Visitor Entry Logs: Gate entry and exit logs are retained in accordance with the security bylaws and audit requirements of your residential society (typically 90 to 365 days), after which they are archived or securely expunged.
• Crash & Diagnostic Logs: Retained temporarily for a maximum of 90 days for debugging purposes.

8. Account & Data Deletion (Google Play Compliance)

In full compliance with Google Play's Data Safety and Account Deletion mandates, every MGate user has the right to request deletion of their account and associated personal data:

• In-App Deletion: You can request account deletion by opening MGate App ➔ Settings / Profile ➔ Request Account Deletion.
• Web-Based Deletion Request: If you have uninstalled the app or lost access to your device, you can submit an online erasure request via our dedicated portal: MGate Account Deletion Portal.
• Processing Timeline: Deletion requests are verified and processed within 7 business days. Personal profiles, phone numbers, and active device tokens are wiped. Society-mandated statutory audit logs (such as past gate timestamps) are permanently anonymized.

9. Children's Privacy

Our applications are designed for adult residents, household heads, security personnel, and society administrators. We do not knowingly solicit or collect personal information from children under the age of 13. If you believe a child has provided us with personal information, please contact us immediately for prompt removal.

10. Updates to This Privacy Policy

We may update this Privacy Policy from time to time to reflect operational changes, security enhancements, or Google Play policy updates. When changes occur, the updated policy will be published on this page with a revised "Last Updated" date. We encourage you to review this page periodically.
